Who we are
BA Hub is operated by Hublinko Limited, a company registered in England and Wales (company number 17347578) ("we", "us"). For anything privacy-related, contact us via the contact form.
What we collect and why
- Contact & enquiry forms: your name, email address and message, so we can reply to you. Lawful basis: legitimate interest in responding to your enquiry.
- Course brochures & register interest: your name and email so we can send the material you asked for and follow up about the course. Lawful basis: consent.
- Live chat ("Speak to Jo"): the messages you type, stored securely so we can reply. Chat notifications sent to our phone contain no message content.
- Your account: your email and password, so your work is saved to you. You need an account to start Project Maple, including the free parts. Passwords are handled by our authentication provider and are never visible to us.
- Your work: your simulation progress and answers, and the diagrams, notes and templates you make in the tools. When you're signed in, your simulation work is saved against your account, so it follows you between devices and is still there when you come back. Some tools also keep a copy in your browser.
- Payments: if you buy a simulation or a year pass, the payment is taken by Stripe, our payment provider. We never see your card details. We keep a record of what you bought, when, what you paid, and when a year pass ends. Lawful basis: to provide what you paid for, and our legal duty to keep tax records.
- Emails about your account: we email you about your own account. For example, a reminder before your year pass ends, and a warning before an account that hasn't been used for a long time is closed. Lawful basis: providing the service you signed up for. You can ask us to stop renewal reminders at any time.
- Billie chat history — the questions you ask Billie (and her answers) are kept so she can remember your conversation. They stay in your browser, and if you're signed in they're also saved against your account so your history follows you between devices. Deleted with your account, or sooner if you ask us.
- AI answers (paid feature, when enabled): if you tap the button asking Billie to "think it through with AI", that question and a little page context are sent to our AI provider, Anthropic, to generate the answer. This is only available when you are signed in. The request goes through our own server first, never straight from your browser to Anthropic. We use one model only, Claude Haiku 4.5. Anthropic deletes the question and the answer within 30 days, and never uses either to train AI models. We do not store the text of your question or the answer at all: we record only the date, the model used and the size of the request, so we can apply your allowance. Everything else Billie does happens with no AI provider involved.
- Usage analytics: only if you accept cookies. We record how BA Hub is used so we can improve it. That covers the pages you open and how long you stay, the answers you pick in the scorecard, the features you use in HubFlow, HubSketch and HubNote, the choices you click in the simulations, the questions you ask Billie, the topic and "I'm a" option you pick on the contact form, and any errors you run into. This is linked to a random tag stored in your browser, not to your name or email. Apart from your Billie questions (with any email addresses or phone numbers removed), we never record what you type, draw or write in the tools. You can change your mind at any time from the cookie banner. See our Cookies policy.
Where your data lives
Form submissions, chat messages and account data are stored with Supabase, our database provider, in their London region. That means your account and everything you save stays in the UK. The website is hosted on our hosting provider's infrastructure.
The one exception is the AI answers described above. Anthropic is a United States company and processes those requests outside the UK. There is currently no UK or EU only option for this service. The transfer is covered by the safeguards in Anthropic's commercial terms. If you would rather nothing of yours went to a provider outside the UK, don't use the AI button. Every other part of BA Hub works without it.
Payments are handled by Stripe, which may process your payment details outside the UK under the safeguards in its own terms.
We do not sell or rent your personal data to anyone, ever.
How long we keep it
Your account and your work: kept while you use BA Hub. If you don't sign in for 2 years, we close your account and delete your work. We email you a month before this happens, and signing in once keeps your account open. You can also ask us to delete your account at any time.
When a year pass ends: nothing is deleted. Your account goes back to a free account, and your work stays in it, ready for you if you renew.
Payment records: 6 years, because tax law requires it. This applies even if your account is closed.
Enquiries and chat messages: up to 24 months, then deleted.
Work stored in your browser: stays on your device until you clear it.
Questions sent to the AI: deleted by Anthropic within 30 days, and never stored by us.
Your rights
Under UK GDPR you can ask us to access, correct, export or delete the personal data we hold about you, and you can withdraw consent at any time. Use the contact form and we'll respond within one month. If you're unhappy with how we handle your data you can complain to the ICO at ico.org.uk.
Changes
If we change this policy we'll update this page and the date at the top.
